Automated Synchronization

This option allows you to enable automatic synchronization. If disabled, the synchronization still can be performed manually.

To Enable automatic synchronization

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Automatic Synchronization“ option to “Yes

As a result, when customers place a new order on Frontend it will be automatically synchronized with Salesforce Order. Also, any change made with an order (for ex. add comments, change status) will be automatically synchronized too.

To check if the order was synchronized:

  • go to Magento Admin panel - Sales - Orders - scroll to the newly created order

You should see that the “Salesforce Sync Status” column has a green tick and the “Salesforce Order ID” column contains a link

  • or click “Select - View“ on the created order and choose the “Salesforce“ tab

To Disable automatic synchronization

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Automatic Synchronization“ option to “No

As a result, when customers place a new order on Frontend it will not be automatically synchronized with Salesforce Order.

To check if the order was not synchronized:

  • go to Magento Admin panel - Sales - Orders - scroll to the newly created order

You should see that the “Salesforce Sync Status” column has a red exclamation mark and the “Salesforce Order ID” column is empty

  • or click “Select - View“ on the created order and choose the “Salesforce“ tab

Manual synchronization

There are few possible ways for manual synchronization

  • Go to Magento Admin panel - Sales - Orders

  • Mark checkbox next to the order you want to manually synchronize

  • Click the “Action” menu - “Sync with Salesforce”

  • Click the “Select - Sync with Salesforce“ action on an order record

  • Click “Select - View“ on the created order

  • Click the “Salesforce Sync“ button

  • Click “Select - View“ on the created order

  • Click on the “Salesforce“ tab

  • Click the “Save and Sync Order“ button

As a result, the order should receive Salesforce Order ID and Salesforce Sync Status become green tick

Zero Grand Total

This option allows enable/disable synchronization for orders with zero grand total (for ex. free sample products or customers apply 100% discount coupon for order)

To Enable Zero Grand Total

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Automatic Synchronization“ option to “Yes

  • Set the “Zero Grand Total“ option to “Synchronize

To Disable Zero Grand Total

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Automatic Synchronization“ option to “Yes

  • Set the “Zero Grand Total“ option to “Do not synchronize

Synchronize Order Notes

This option allows you to attach Magento order notes to the Order notes in Salesforce

To Enable Synchronize Order Notes

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Synchronize Order Notes“ option to “Yes

As a result, Magento order comments will be attached to the Order notes in Salesforce

To Disable Synchronize Order Notes

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Synchronize Order Notes“ option to “No

As a result, Magento order comments will not be attached to the Order notes in Salesforce

Update Order Info

This option actually does not work

Default Status

This option allows you to specify a default order status to be used when making changes to the order (marks an incomplete order or changes being made).

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Click on the “Default Status“ drop-down list

  • select order status

How to add new status in drop-down list

  • go to Salesforce and click the “Gears“ button

  • type “Object Manager” into the “Search Setup” field and click on it

  • Click on the “Order“ label and select the “Fields & Relationships“ tab

  • Click on “Status” field label and add new labels

IMPORTANT: Default status must be from the Draft status group in Salesforce. If select Default status from Activated status group order will not be synchronized

You can see an error in “TNW Salesforce / From Magento to SalesForce sync queue“ table

Choose a valid status and save your changes. For a new or cloned order, choose Draft. An Activated order's status can't be edited., fields [Status]

  • go to Magento Admin panel - Salesforce (sidebar menu) - Queues - From Magento

Sync all orders

This option allows you to Synchronize all orders regardless of Magento status

When the “Sync all orders“ option is set to “Yes“ orders with any status will be synchronized

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Sync all orders“ option to “Yes

When the “Sync all orders“ option is set to “No“ you are able to choose particular orders statuses to be synchronized

  • go to Magento Admin panel - Salesforce (sidebar menu) - Orders - Order Configuration tab

  • Set the “Sync all orders“ option to “No

  • Select particular orders statuses to be synchronized (for ex. Complete)
